The Role: 

The Program Coordinator, Corporate Initiatives will serve as key member of the Corporate Initiatives department, working to support Suffolk’s non-profit, Giving Circle. Celebrating more than twenty-five years, Giving Circle provides financial support to Suffolk employees, subcontractors, family members, clients and close friends. This individual will be responsible for supporting all aspects of the effort, including communication, event planning, grant and payment processing, and data tracking.  

Responsibilities

  • Assist in the planning and execution of philanthropic events, such as but not limited to golf tournaments and fundraisers, and campaigns.  
  • Execute payment processes throughout the year for Giving Circle ensuring payments and grants are completed in a timely fashion and helping to track spend against budget.  
  • Support the grant process, including outreach, vetting of information, and communication with regional committee members and beneficiaries 
  • Maintain organized records and files. Track donation records and contributions.  
  • Provide administrative support for Giving Circle committees, including scheduling meetings, distributing agendas, and facilitating communication  
  • Prepare regular reports on donations, grants, budgets, and event outcomes for leadership and committees.  
  • Support the development and dissemination of marketing and communication materials. 
  • Help manage Giving Circle’s systems and processes  
  • Maintain compliance with corporate and regulatory guidelines for philanthropic activities.   
  • Assist in the preparation of presentations, reports, and other documents as needed. 
  • Ensure confidentiality and sensitivity when handling beneficiary information  
  • Perform additional administrative functions and support the Corporate Initiatives team as needs arise. 

Qualifications

  • 1-3 years of relevant experience in philanthropy, nonprofit management, events or project coordination  
  • Proficiency in MS Office (Excel, PowerPoint, Outlook,) and comfort with CRM or fundraising software  
  • Demonstrated project management and event coordination skills  
  • Strong communication and organizational skills; ability to prioritize and multi-task  
  • Self-motivated and independent, with the ability to work collaboratively with others 
  • A strong attention to detail 
  • Strong interpersonal skills  
  • Be flexible and willing to adapt to new processes 
  • Candidate must possess Suffolk’s Core Values: Passion, Integrity, Hard Work, Professionalism and Caring 
  • Ability to travel 10-15% supporting regional events

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand, and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level.
