• Marketing & Work Acquisition Specialist

  • Overview

    As a key member of the team, the Work Acquisition/Marketing Specialist contributes to the overall efforts to position Suffolk as the builder of choice. Coordinates multiple assignments without losing track of deliverables, quality, or deadlines to help secure new work while supporting the Build Smart brand. 


    • Work Acquisition
      • Draft, edit and produce materials used in client submissions and RFQ/P responses
      • Create effective section layouts, customize resumes/profiles, confirm team references, generate experience lists, request financial and/or legal information
      • Work closely with other marketing team members and coordinate with operations, estimating, leadership, and business development teams to manage timelines for production and packaging to meet submission deadlines
      • Support interview preparation and develop handouts, agendas, boards, presentations, etc.
      • Stay abreast of new and current trends by attending industry programs and representing firm within local A/E/C community, as well as at strategic local business functions and events
      • Engage in “lessons learned” and debrief sessions to collect best practices and areas for continued improvement for work acquisition efforts
      • Provide research support and collateral to business development
      • Coordinate the development of project budgets and fee proposals to support preconstruction efforts for current and prospective clients


    • Infrastructure
      • Create and maintain work acquisition materials including resumes, project profiles, etc.
      • Coordinate project photography and project team debrief interviews at the completion of a project
      • Maintain the AIA A305 document in conjunction with national work acquisition group
      • Maintain and update CRM, as needed
      • Brainstorm and implement strategic solutions to streamline work acquisition and marketing processes


    • General Marketing
      • Coordinate the content and production for award submittals, collateral, and ads, as needed
      • Coordinate Suffolk events including scheduling, venue selection, registration, etc.
        • Sponsorships, trade shows, and other company events, as needed
      • Assist in promoting “build smart” stories through internal and external communication
        • Social media, OneSuffolk, email announcements, town hall meetings, etc.
      • Offer input in regards to story generation for newsletter, blog, social media, and PR
      • Provide support to Director of Marketing for public relations efforts to drive brand awareness
      • Provide overall marketing support to internal Suffolk departments and project teams
        • Assist with project signage, office/trailer branding, and general marketing needs


    • 3-5 years marketing in professional services BS/BA with concentration in marketing, business, or communications preferred
    • Excellent communication and interpersonal skills with a focus on customer service
    • Highly organized with the ability to multi-task
    • Ability to work well under pressure and successfully meet deadlines in a fast-paced environment
    • Positive attitude and ability to contribute to the team
    • Excellent writing and proofreading skills
    • Strong attention to detail with an emphasis on quality
    • Strong technical capabilities in Adobe Creative Suite, particularly InDesign, PhotoShop and Illustrator and in Microsoft Office, particularly PowerPoint, Word and Excel
    • Basic design sense and creative ability

    Working Conditions

    While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level. Job site walking.
