The Estimating Coordinator provides administrative support on a daily basis to members of the Estimating department in addition to some contact with subcontractors, as directed. The Estimating Coordinator works with our San Francisco estimating team for all assigned Suffolk projects in the greater San Francisco Bay Area.

Subcontractor/Supplier Database
• Update Subcontractor Information (i.e. Telephone, Fax, Contact Information, Web-Site Information, etc)
• Organize bid box and check to make sure each sub is entered into the S4 Database after bid goes in
• Log in Bid Invitations that get returned to the specific job (IE. Yes, No etc) and save the invitations in folder having yes (will bid) on one side no’s (not bidding) on the other
• Contact Unions twice a year to get updated lists and confirm they are in the subcontractor database
• Prepare list of all subcontractors wishing to be placed on our bid list by using a pre-qualification form; list to be reviewed every Monday and approval from Estimators is required before sub can be placed on bid list
• Create sub list with criteria set by Estimator
Estimating Schedule
• Copy and distribute Estimating Schedule on Monday mornings
• Use the Estimating Schedule to coordinate and organize the company plan room
New Job Information
• Create job numbers for new jobs
• Create and send out bid invitations using our fax software after the lead Estimator approves
• Type plans and specification lists and update accordingly
• Create Job Binder with appropriate tabs
• Contact subcontractors with direction from the Estimator
Miscellaneous Tasks
• Check all fax machines, copiers and printers within the department, fill them with paper, staples, toner, sort all faxes and distribute them to each individual in the Estimating Dept throughout the day
• Answer telephones
• Distribute mail upon delivery
• Organize company plan room when applicable
• Organize Estimating conference room after all meetings if necessary
• Assist in archiving and purging Estimating electronic files and historical cost information
• Code Estimating invoices for payment
• Order Estimating supplies
• Type letters, transmittals and other information requested by all Estimators on a need basis
• Assist Estimators when needed
• Work with reprographics companies to come up with a comprehensive billing system to track actual costs accurately
• File hard copies of old estimates with storage facility
• Obtain copies of latest contract award information from Purchasing to distribute
• Work with IT to keep Estimating information page on Suffolk website updated
• Keep track of department digital camera. Create sign out log and make sure batteries are always charged and memory card emptied after each use
While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus.
